Privacy policy

This privacy policy describes how Áila Hideaway collects, uses and protects personal data on this website.

1. Data controller

Áila Hideaway, Mataraojantie 462, 99600 Sodankylä, Finland. Contact in matters relating to personal data: info@ailahideaway.com.

2. What data we collect and why

We collect data to provide the best possible user experience, to develop our services, and for customer communication. The data is primarily divided into two categories:

Data provided by you: information you give us, for example through the contact form (such as your name, email address, phone number, party size, travel dates and your message), and an optional newsletter consent if you choose to give one.

Automatically collected data: technical data about the use of the site (such as IP address, browser and device details, and time spent on the site), used to ensure the security of the service and for visitor analytics.

3. Data sharing and third parties

We do not sell your personal data to outside parties. We may share necessary data with our trusted service providers:

Contact enquiries: enquiries sent through this website are saved in our own system first and then delivered to our customer relationship management system (ActiveCampaign) so our team can answer you. If you check the optional newsletter box, we also request a subscription to Áila's newsletter and retain your consent wording and timestamp. Unchecked enquiries do not subscribe you. Previous unsubscribes, bounced addresses and exclusions are not overridden. Test guest applications use a separate, optional newsletter consent for Áila's Finnish business decision-maker list; applying without checking that box does not subscribe you. You can unsubscribe at any time.

Bookings: reservations are made through our booking partner Moder. Booking and payment data is processed by Moder in accordance with its own terms and privacy policy.

Analytics and consent management: cookie consent is managed with Cookiebot. Analytics tools (Google Analytics and Microsoft Clarity) only run after you allow statistics cookies. The Meta Pixel (Meta Platforms Ireland Ltd.) only runs after you allow marketing cookies; it records page views (page address, browser and device details and Meta cookies) to measure and improve our Facebook and Instagram advertising. No form contents, email addresses or phone numbers are sent to Meta. You can change or withdraw your choice at any time.

LinkedIn Insight Tag: the LinkedIn Insight Tag (LinkedIn Ireland Unlimited Company) only runs after you allow marketing cookies. It records your visits to the pages of this site (page address, referrer, IP address, browser and device details, time and LinkedIn cookies) so we can measure our LinkedIn advertising and show our ads again to people who have visited the site (retargeting). No form contents, email addresses or other identifiers are passed to LinkedIn. If you withdraw marketing consent after the tag has run, we stop sending visits to LinkedIn, remove LinkedIn cookies set on this site and refresh the page once automatically, so LinkedIn's code no longer runs (a form you are sending finishes first). Cookies stored on LinkedIn's own domain can only be removed in your browser or LinkedIn settings.

Test guest applications: when a test guest application has been saved successfully, we record one conversion event: in Google Analytics if you have allowed statistics cookies, and as a Meta "Lead" event if you have allowed marketing cookies. The event only says that an application was sent; no form contents, names, email addresses or phone numbers are included.

Site maintenance: hosting partners and security services.

Legal requirements: we will disclose data to authorities if explicitly required by law, regulation, or an official decision.

4. Cookies and embedded content

We use cookies to improve the functionality of the site, remember your preferences, and understand how the site is used. Cookies that are strictly necessary for the basic operation of the site are always used; statistical and marketing cookies are only used after your consent, which you can change or withdraw at any time from the cookie settings or the cookie declaration.

Our site may also include embedded content from other websites (such as videos or maps). This content behaves exactly as if you had visited the other website, and these external parties may set their own cookies and collect data in accordance with their own privacy policies.

5. How long we retain your data

We retain collected data only for as long as is necessary to fulfil its original purpose. Contact enquiries are retained so we can handle your enquiry and any follow-up about your stay. Analytics data is retained according to the settings of the analytics tools, for as long as your consent is active.

6. Your rights

You have the right to control your personal data. You can request from us:

An exported file of the personal data we hold about you.

The correction of incorrect data.

The erasure of your personal data from our systems, unless we have an administrative, legal, or security obligation to retain it.

To exercise these rights, contact us at info@ailahideaway.com.
